1.1 Information Clients Provide to Quinn AI

  • User Information: Names and contact information related to client accounts, note Quinn AI does not collect PII data.

  • Client Data: Any client-provided, public or non-public information that Quinn AI processes as part of our services.  This is largely, but not limited to, revenue related business data from various client-systems (e.g. sales or marketing systems), and can include information such: 

    • Customer Information (e.g. name, size, interaction history)

    • Sales Data (e.g. deal/opportunity information, sales pipeline stages, revenue data)

    • Marketing Data (e.g. campaign performance metrics, segmentation data)

    • Inventory/Product Data (e.g. usage, purchase orders)

    • Operational Data (e.g. renewals, upgrades, contract lengths, customer support tickets)

1.2 Information Collected and Processed When Using Quinn AI

  • Client User Level Usage Data: We collect and log user-level usage data when client users interact with the Quinn AI. Usage data includes metrics and information regarding client user accounts' use and interaction with Quinn such as account ID mapping to an object (like a support ticket, or KPI metadata that has been edited).  Usage data also includes how often certain features and widgets are accessed (like Quinn Assist, or the export button or other interactive capabilities like the “thumbs up/thumbs down” feature) are triggered by an account ID. 

  • Conversation Data: Information is retained from past interactions utilizing various memory management techniques, such as conversation buffer windows or summarization, to vector and store key details from previous exchanges.  These exchanges are stored in a client-specific knowledge graph database.

1.3 Purpose of Data Collection

Data collected by Quinn AI are only used for operational purposes and never sold or used beyond the following stated purposes:

  • To communicate with our clients and in some cases facilitate their registration.

  • To set preferences, improve results/performance/features/services or provide any other related information to access or utilize Quinn AI services, including personalized AI-powered recommendations and business insights related to contractual obligations.

  • To ensure there is an audit trail that captures issues logged or changes to data.

  • To post testimonials and comments on our websites, which may contain Personal Data, however any testimonials and comments are client approved.

  • To serve up insights, recommendations and business plans, and also to create derivatives from the original data provided (derivatives such as forecasts or churn propensity models).  Note: Client Data or derivative data generated from Client Data is not shared with any other client.

  • To enable Quinn to provide personalized and contextually relevant responses, as Quinn can recall user preferences, past topics discussed, and specific details without requiring repetition from the user.

This includes data collected and passed to any Quinn AI third-party sub processors.  All data processing activities are documented in our Data Processing Addendum (DPA), ensuring data is used only for the specified purposes.

2.1 Data Minimization and Retention 

Quinn AI retains Client Data only as long as necessary to fulfill the purposes outlined or as required by law. Upon request or the termination of our services, we will securely delete or return all Client Data.  We are careful to delete all Client Data, including any backups and references.

2.2 Data Access and Sharing

We do not sell, share, or disclose Client Data except as required to deliver our services or by law. Any data sharing with third-party sub processors (e.g., AWS, OpenAI) complies with data protection laws, and these sub processors operate under strict contractual confidentiality obligations.

2.3 Compelled Disclosure 

We reserve the right to use or disclose our Client Data if required by law or if we reasonably believe that use or disclosure is necessary to protect our rights, protect our client’s safety or the safety of others, investigate fraud, or comply with a law, court order, or legal process.

We use Amazon Web Services (AWS) for secure cloud data storage and follow best practices to protect data confidentiality and integrity.  More specifically we use tools such as AWS Identity and Access Management, AWS Security Hub and encryption services to ensure we maintain a robust security posture.

3.2 Third-party sub processors 

Quinn AI may, when required (as outlined in the “1.3 Purpose of Data Collection”) share Client Data with third-party sub processors, such as OpenAI and Anthropic. In all cases where client information is shared, we explicitly require the third-party sub processors to acknowledge and adhere to our privacy and data protection policies and standards.

Quinn AI utilizes generative AI technology to provide insights based on client-provided data ("GenAI Functions"). Client Data used with GenAI Functions is stored securely and used only for the intended purposes. We maintain a strict no-sharing policy for Client Data with our generative AI providers, such as OpenAI, ensuring Client Data is not used to train or improve models for other users.

4.2 Training Models

Quinn is built on the fundamental principle of data privacy and client confidentiality. We employ a system of data isolation, ensuring that each client's information remains strictly segregated from others. This means that the AI models we develop are entirely client-specific, trained exclusively on the data provided by and pertaining to that individual client.

We have implemented robust security measures and architectural designs to prevent any cross-contamination of data between clients. Our system is designed in such a way that it's technically impossible for one client's data to influence or be accessed by another client's model. This client-centric approach allows us to deliver highly personalized and relevant insights tailored to each client's unique needs and context.

4.2 Data Accuracy and Liability

While Quinn AI strives for accuracy in generative outputs, users should verify AI-generated content independently. We disclaim liability for any decisions made based on AI-generated insights, unless specifically specified in our contracts.
